Security & Attorney-Client Privilege

+ Is client data submitted through FormKnight protected by attorney-client privilege? Privilege

Yes. Attorney-client privilege attaches to the communication between client and attorney — not the medium through which it travels. A client submitting intake information through a FormKnight web form is engaging in exactly the same privileged pre-representation communication as filling out a paper form in your waiting room.

What matters legally is that the communication is made in confidence, for the purpose of seeking legal advice, and that you take reasonable steps to maintain confidentiality. FormKnight satisfies that standard:

  • TLS encryption on all data in transit (the same standard used by online banking)
  • Encrypted storage at rest for all infrastructure
  • No third-party advertising, analytics, or data sharing of any kind
  • Submissions delivered only to your firm's designated email addresses
Worth noting: Emailing a scanned PDF intake form — a common current workflow — travels over standard email with far less protection than a FormKnight submission. Digital intake is more privilege-protective, not less.
+ Who can see my clients' submitted intake data? Access

Only you and the people you designate. When we set up your forms, we configure submission routing to the email addresses you specify — typically the attorney and/or intake coordinator at your firm. No one else receives submission data.

FormKnight is a pass-through service. We do not retain, store, or review client intake data beyond the instant it takes to deliver it to your inbox and your practice management system. Once delivered, it's yours.

We do not sell, share, license, or distribute client data to any third party — ever. Our revenue comes from your subscription, not your clients' information.

+ What encryption does FormKnight use? Encryption

All data in transit is protected with TLS 1.2 or higher — the same encryption standard required by financial institutions. Your clients will see the padlock icon in their browser confirming a secure connection.

Our infrastructure is hosted on enterprise-grade cloud providers with SOC 2 Type II certification. We don't run intake data on consumer-grade hosting.

+ Do I need to disclose to clients that their form is processed by a third party? Disclosure

This depends on your state bar rules and your firm's privacy policy. Most state bars do not require specific disclosure of cloud vendors used for administrative functions, provided those vendors maintain appropriate confidentiality safeguards — which FormKnight does.

That said, transparency is always good practice. Many firms add a brief note to their intake page: "This form is securely processed by FormKnight on behalf of [Firm Name]. Your information is confidential and will only be used to evaluate your legal matter."

We provide suggested disclosure language as part of your onboarding. When in doubt, your state bar's ethics hotline is an excellent free resource on technology and confidentiality questions.

Workflow & Setup

+ How long does setup actually take? Setup

We built FormKnight so setup requires almost nothing from you. Here's the process:

  • Day 1: Send us your existing intake forms — PDFs, Word docs, whatever you have.
  • Days 2–5: We build your web forms, brand them to match your firm, and configure submission routing to your email addresses.
  • Day 5–7: We send you one line of embed code and a short onboarding walkthrough. You paste the code into your website.
  • Day 7: Your forms are live.

If you're on WordPress, Squarespace, Wix, or Webflow, adding the embed code takes under five minutes. We walk you through it step by step, or we can do it for you on Custom plans.

+ Do I have to change how I run my intake process? Change

No. Think of FormKnight as adding a lane, not replacing your road.

Your existing intake process — phone consultations, in-office meetings, how you review information, how you open matters — none of that changes. The only thing that changes is how clients get you their information before that first meeting.

You get the same information you always got, arriving cleaner and faster, with no chasing incomplete PDFs.

+ What if I need to update a form after it's live? Updates

Form updates are included in your subscription. Email us the updated document — or describe the changes — and we'll update the live form within 3–5 business days on Starter and Professional plans (faster on Custom).

No per-update fee, no limit on change requests. If your practice evolves, your forms evolve with it.

+ I have multiple practice areas with different intake forms. Can you handle all of them? Multi-form

Yes. Each practice area form becomes its own web form with its own embed code. Submissions from each form route to whoever you designate — which can be different people for different areas.

  • Starter: Up to 3 forms
  • Professional: Up to 5 forms
  • Custom: Unlimited forms
+ Do clients need to create an account or download anything? Client Experience

No accounts, no downloads, no apps. Clients click a link or find the form on your website, fill it out in their browser, and hit submit. That's the entire experience.

Works on every modern device — iPhone, Android, iPad, laptop, desktop. No software installation required.

Compare to your current workflow: clients need a printer, a scanner or phone camera, and either a fax machine or an email client that can handle attachments. FormKnight requires exactly one thing — a web browser, which every client already has.

Technical Questions

+ What website platforms does FormKnight work with? Platforms

FormKnight works with any website that allows you to embed HTML:

  • WordPress (including Elementor, Divi, and other page builders)
  • Squarespace, Wix, Webflow, GoDaddy Website Builder
  • Custom HTML/CSS sites
  • Any platform with an "embed code" or "custom HTML" block

If you're not sure whether your site supports embedding, send us your website URL and we'll confirm before you commit to anything.

+ Can FormKnight connect to my practice management software? Integration

Yes, on Professional and Custom plans. We connect your form submissions to your practice management software via webhook — a secure, automatic data handoff that fires every time a form is submitted.

We use Zapier as the integration layer, which supports 6,000+ tools including Clio, MyCase, PracticePanther, Lawmatics, Google Sheets, and more. We set it up for you as part of onboarding — you don't need to know what a webhook is.

On the Starter plan, submissions are delivered via email. You can forward or manually import into your system of record.

Don't see your software? Ask us — if it has Zapier support, we can almost certainly connect to it.

+ What if my website goes down — do clients lose access to the form? Reliability

Your forms live on FormKnight's infrastructure, not your website's server. Even if your website experiences downtime, the form itself continues to function.

We always provide a direct form URL in addition to the embed code. You can share this link via email, text, or your Google Business listing as a backup.

Pricing & Contracts

+ What does the setup fee cover, and is it really waived right now? Setup Fee

The standard setup fee covers the full cost of your initial form conversion — analyzing your existing intake documents, building the web forms, branding them to your firm, configuring submission routing, testing every field, and walking through onboarding.

For firms joining FormKnight during our initial growth phase, the setup fee is waived entirely. You pay only the monthly subscription, starting after your forms are live and working to your satisfaction.

This offer is available for a limited number of firms. We're transparent about that — we want early clients who will grow with us and help shape the product.

+ Is there a long-term contract? What if I want to cancel? Contract

No long-term contracts, ever. FormKnight is month-to-month. Cancel any time — your forms remain live through the end of your billing period.

We'd rather earn your business every month than lock you in. If FormKnight isn't delivering value, we want to know why — and fix it.
+ Is there a free trial? Trial

We don't offer a traditional free trial — primarily because our service involves real work to build your forms, which can't be delivered at zero cost.

What we offer instead:

  • A free demo call showing a live example from a firm in your practice area
  • A free mockup of one of your forms before you commit
  • Setup fee waived for early firms
  • No contract — so your first month is also your last obligation if it doesn't work out
+ What's the ROI? How do I know this is worth the monthly cost? ROI

The math is straightforward. Consider:

  • Firms using digital intake see significantly more leads converted than firms using paper forms
  • For a solo attorney billing $250/hour, one additional client per month — from a prospect who didn't abandon a confusing PDF — covers the entire annual cost of FormKnight

Data & Submissions

+ Where do I see completed submissions? Delivery

Every submission triggers an instant email notification to the addresses you designate — so you don't have to check anything. The notification contains the full intake response, formatted and readable, right in your inbox.

If you have practice management integration configured, the submission also flows automatically into your CRM at the same time. Most attorneys find the email notification is all they need day-to-day.

+ Does FormKnight store my clients' intake data? Storage

No. FormKnight is a pass-through service. When a client submits a form, we deliver it to your inbox and your practice management system, then we're done. We do not retain client intake data.

This is a deliberate design decision. Your clients' data belongs to your firm — not to us. You are the system of record, which means your firm (and your CRM) handles retention, not us.

What this means for you: Colorado bar rules require retaining client communications for a minimum of 7 years. That's your firm's responsibility — and your CRM is the right place for it, not a third-party form tool.
+ Is it safe to send client intake data — including SSNs — over email? Security

We take a careful approach here. The notification email your firm receives contains the full intake response with one exception: highly sensitive fields like Social Security Numbers are partially masked in the email (showing only the last 4 digits).

The complete, unmasked data is delivered simultaneously to your practice management system via secure webhook — which is the appropriate system of record for sensitive client identifiers.

This means your inbox gets a useful, readable summary of every submission, while your CRM holds the complete record. If you don't have CRM integration configured, we recommend your firm use encrypted email for intake workflows involving SSNs.
